Company credit card

Kiel University has entered into a framework agreement with Deutsche Bank/American Express for the introduction of a company credit card (Corporate Card Green), to be used for business trips (not exclusively). The main advantages for university members are

  • No annual fee (normally 60 €)
  • Extended terms of payment of 28 days as from receipt of invoice
  • Business trip accident insurance, baggage insurance and international travel health insurance
  • Travel comfort insurance (insurance for baggage delays and loss)
  • Automatic connection to the key customer discount number at Deutsche Bahn.

Reimbursing the costs of acquiring a BahnCard

The cost of a BahnCard will be reimbursed if its use is more economic than other transport discounts and if its purchase therefore takes place for business reasons.

For reimbursement to take place, the following details are required for the trips made during the BC period of validity:

  1. Destinations and dates of the trip
  2. Normal price of a second class ticket
  3. Fares when using a BC 25 or BC 50
  4. Price of the BC

The Bundesreisekostengesetz (German Travel Expenses Act) allows reimbursement of the costs for a BC Business BEFORE ITS PURCHASE on the basis of a prediction of both the trips planned during the validity period of the BC and a projection. Here, it is absolutely necessary that

  • your budget / funds administrator has given his/her approval beforehand, there will be no reimbursement from central university funds!
  • the BC has not yet been purchased,
  • a prediction of the planned trips and the estimated costs has been produced and
  • the travel expenses division is involved in advance.

On the basis of the prediction, the travel expenses division would check the capacity for reimbursement and, if necessary, make a decision regarding a BC 50 or 25. The purchase of this would then have to be arranged. In this case, reimbursement is secured before purchase and the cost of the BC can be refunded with the first business trip made using this BC.

The costs of a privately purchased BahnCard can be reimbursed upon application as part of the repayment model, as soon as its purchase has redeemed itself through business trips. This occurs once the amount of money saved equals the purchase price of the BahnCard. Partial reimbursement is not possible.

As it is only possible to reimburse trips at the lowest travel class, reimbursement of the cost of purchasing a BahnCard First is usually not possible.

The cost of purchasing a BahnCard 100 can only be reimbursed if the price is profitable through business trips alone, i.e. the sum of all single tickets for business trips, under consideration of the key customer discount, would be more than the purchase price of a BahnCard 100.

Business customer discount at Deutsche Bahn

Business trip costs can be reduced considerably by the business customer discount at Deutsche Bahn. The key customer discount is currently 5% off the normal ticket price. This is deducted immediately when purchasing the ticket. The discount rate is based on the amount of annual sales, whereby only those sales booked using the CAU customer number 2000609 are counted. It is therefore also important to use this customer number when booking items that do not have additional discounts (such as saver fares or the BahnCard). The deduction of the key customer discount also occurs exclusively in connection with the customer number.

This discount can be combined with a BahnCard, but not with saver fares and special offers such as the "Dauer-Spezial". It is not valid on the local service offers  within Schleswig-Holstein.

If you (have to) buy your train tickets from a travel agency or at the train station counter, please state the CAU customer number given above.

Online bookings are possible via the Deutsche Bahn's business customer portal, once the traveller has registered there as a so-called  'Selbstbucher' (self-booker). In order to register, an e-mail must be sent from your work e-mail address (private e-mail addresses will not be accepted), with the order to activate you as a self-booker. This e-mail is sent to the responsible case worker in the travel expenses division. The activation will take place from there and the person requesting activation will be forwarded a registration link with additional information.
Please note: Bookings in the business customer portal are preset as 1st class. This setting needs to be changed to 2nd class, if necessary.

When making a booking for a private person via the Bahn portal, it is not possible to use the key customer discount, as these fields have no options for entering the CAU customer number.
The business customer discount is applied by saving the appropriate BahnCard business type in the travel profile, or by manually selecting it for each booking in the online booking portals. It is not enough to simply enter the BahnCard business number during identification.

For larger institutions (such as the Joint Administration within the Physics Centre ), a member of staff can be named (the so-called booker), who can perform the activation as a self-booker (Selbstbucher) for the staff at this institution without further involvement by the travel expenses division. Please send corresponding orders to set up a booker to the address above. The following details are required for activation: First name and surname of the booker, work e-mail address and name of the institution for which the authorization will be valid.

According to the Bundesreisekostengesetz (German Travel Expenses Act), any possible ticket price deductions are to be considered when determining the costs to be reimbursed. In future, therefore, it will only be possible to recognise standard fares as refundable in justified cases of exception; the key customer discount is to be taken off the costs, if applicable.

If a ticket is purchased using the company credit card this will automatically link to the customer number.
